CRM WORKFLOW PROCESS

1) RAISING AND COMPILING YOUR BRIEF
All CRM requests should be raised on the CRM SPRINTS board. If you don’t have access, please contact our Creative Managers who will grant you access. When adding a task make sure you update the ‘deadline’ and ‘Brand’ columns. Follow the points below to make sure your brief gets a Green Flag when reviewed by our Creative Managers.
- Ask yourself could this campaign be delivered by self-service through Streameye, Only brief work into the studio which cannot be delivered by this tool.
- Briefs should be raised on the ‘Backlog’ Group. The brief itself should added to the ‘info box’ section.
- If referencing past examples. Don’t provide screenshots but instead Sharepoint links or previous Task ID’s. Any inspiration from competitors should be placed in ‘Files’ and referenced in the brief.
- Provide all sizes and any relevant specs. If different text is required on certain sizes, please specify which sizes.
- Keep creative concepts and versions to a minimum
- Promo mechanics / copy should be reviewed and approved by compliance and your manager before being added to the brief
- Headline / body copy – should be spell checked and approved before added to the brief
- T&C’s should be signed off and spell checked. When using similar T&C’s to a previous version. `highlight in yellow only the changes that need to be made. Translations should be supplied at the point of briefing not inflight.
- Translated copy should be reviewed and signed off by the Regional Manager before being added to the brief.
- When requesting Casino creative – Provide the Game provider details.
- UK and IRE promotions with the same messaging / content should be briefed on the same Task.
- Ensure that your Manager has reviewed your brief before moving it to the ‘Sprint Planning’ Group.
- ALL BRIEFS SHOULD BE ADDED TO THE SPRINT PLANNING GROUP THE MONDAY BEFORE THE TWO WEEK SPRINT CYCLE. WEDNESDAY IS THE HARD DEADLINE BUT ADDING IT THIS LATE MIGHT RISK IT NOT BEING ADDED TO THE FORTHCOMING SPRINT

2) PRE PLANNING MEETING – OCCURS EVERY FORTNIGHT
Once you are happy that the brief is complete and has been reviewed by your manager, change the status column to BRIEFED IN This will automatically move the task to the ‘SPRINT PLANNING’ Group. Our Creative Managers will then review the task and notify you by email if it has received a GREEN or RED Flag. All briefs must have a Green Flag o be considered for the next Sprint.
At the Sprint Planning meeting the CRM and Creative Managers will decide which tasks will be added to the upcoming Sprint. They will also add a ‘PRIORITY’ status to the task. This will be to prioritise delivery within 5 or 10 working days Brief owners must not assign this priority. After this meeting, you’ll be notified by email if your task has not been accepted for the next Sprint
Once the two-week sprint has started. No further briefs will be accepted nor the scope of of the task should be changed, this includes no additional subitems being added. Late or deprioritised tasks will have to wait for the next sprint.

3) TWO WEEK SPRINTS
- When the allocated resource starts working on your task the status will change to ‘Working on it’. Tasks will be delivered depending on the ‘Priority’ assigned them. This being the 5th* or 10th* day of the Sprint. *working days
- After creative has been posted and the status changed to ‘QA’. Feedback needs to be prompt (within 24 hrs) or provide a reason for not being able to provide this.
- If amends are needed. Change status to ‘REVISIONS NEEDED’ and comment in the Update section
- Please don’t flip flop with feedback. Discuss with team members and then collate all feedback and supply in one-round.
- Once the brief owner is happy with the deliverables. Only they should change the status to ‘DONE‘. This tells the Studio the task is ready to be archived.
- Please don’t change the status from ‘DONE’ to ‘REVISIONS NEEDED’. When it’s done it’s finito!
- On the rare occasion a task does requires amends after the status has been changed to ‘Done’. Please change to ‘Revisions needed’ and comment on the Task. If extensive amends are required the Creative Manager will request that another task within the Sprint be deprioritised and removed from the Sprint to the Backlog. Briefs should be scoped in their entirety with deliverables detailed prior to the brief being Green Flagged.
3) RETROSPECTIVE
The Retrospective meeting will be held after the Sprint with CRM and Creative Managers. Topics covered:
- Review creative and look at ways to optimise / improve
- Look to further calibrate SP’s allotment to future tasks
- What could be improved (went OK, but could be better)
- Ways of further improving the workflow process
- What are we going to try to do differently
