JIRA - RAISING TICKET

1. Creating tickets

  • Hit the blue ‘Create’ button at the top of the board to fill out the briefing form.
  • Choose which board it should be created on.
    • If you only need copy select Marketing Design Copy.
    • If you need Design select Marketing Design Scrum.
    • If you need copy AND design select Marketing Design Copy.
    • If you get it wrong Jira will assign to the correct board.
  • Enter the job title in the Summary box.
  • In Marketing Design Request Types make sure you choose as many options as needed. For example, if you need copy and design please select both.
  • When adding a due date keep in mind we are working in sprints that are 2 weeks long. So, if you brief something at the beginning of a sprint that has already started, your job will be added into the next sprint.
  • If it is a special event, please select the correct label from the Components drop box.
  • Choose a priority. Only jobs in P0 require a priority reason, for others please write N/A.
    • P0Urgent, stop-everything-else level of importance.
    • P1Very important, but can wait just a bit.
    • P2Important but not urgent.
    • P3Nice-to-have or long-term.
    If a P0 is raised, we need an email from the SLT team or Head of Dept to say that we need to action it — otherwise it's a P1, and although it is still urgent, it can be prioritized in our BAU workflow.
  • Select the relevant department (Convergence, CRM).
  • Select the brand(s).
  • Please be detailed with your ask within the description box – detailed briefs mean we are less likely to need to follow up with questions and can begin working on your ticket ASAP.
  • Ensure you add the Sharepoint link to any previous assets (not screenshots, or links to Jira tickets).
  • Design Deliverables: choose as many sizes as needed. If a size is not in the dropdown please specify below, if not write N/A.
  • Ensure ‘Deliverables summary and totals’ is filled out and shows a simple breakdown of the requirement.
  • Ensure you add the Casino Provider if relevant, if not write N/A.
  • Make sure to add a CTA if it’s needed, if not write N/A.
    • If you have a specific CTA in mind, you can add it in CTA Details, if not, please let us know that we must create one.
  • Please let us know if Legal approved the sig cons and T&Cs.
  • If you have the Legal Terms, please add them to the field.
  • Attach any supporting documents, resources or inspiration.
  • Click ‘Create’.
  • Please remember, briefs in ‘Open’ are not monitored, you must move the status to ‘Briefed in’ when complete.
  • We will not accept poor briefs – if they do not hit the basic requirements, it’ll be moved to ‘Rejected’.
  • If your brief has sat with unanswered queries for 10 working days, it will be Rejected.

2. Adding Subtasks

  • Multiple brands/geos or creatives will require subtasks.
  • Select ‘+Add’ on your parent ticket under the title.
  • Give a title to your subtask, click create and go through the briefing form again (see above).
  • Subtasks get added after you've clicked 'Create'.
  • These can be found at the bottom of the parent ticket.

3. Adding Watchers

  • To add watchers, click the 'eye' icon on the top right of your ticket.
    • Please add any relevant stakeholders who need to be aware of updates to the ticket.
